Procurement procedures of the fund

The selection of suppliers is based on the principle of “highest quality at the lowest price.” Payment is made to the supplier’s bank account in the national currency of Ukraine. The supplier provides registration documents, as well as an invoice and delivery note, certified with a signature and stamp (if available) in paper form. During the supplier selection process, we strive to choose authorized representatives of trade brands, especially for medical equipment or high-value machinery that requires installation and warranty service.

If necessary, a tender process is conducted.

● Used goods;

● Products without appropriate certificates of conformity and warranty conditions, especially when it comes to equipment;

● Goods delivered to the territory of Ukraine with violations of import procedures (illegally imported goods);

● Medications that are not officially registered in Ukraine.

Please send your commercial proposal via email address office@centersocial.org, along with a link to your website. If there is interest, we will contact you.

We do not work with legal entities that lack official registration within the territory of Ukraine, have issues with registration documents, or are burdened with legal proceedings or open criminal or administrative investigations. We require a complete set of documents from each counterparty to confirm their tax status and registration.

The work of the fund

You can make a charitable donation on our website. Please follow the link https://centersocial.org/projects/, choose the desired program, and specify the amount of the donation. You can indicate the desired purpose for the funds in the transaction comment. All reports are published on the website.

All charitable donations received by our organization are allocated according to the projects and programs of the fund, as well as the obligations related to the implementation of targeted projects, grants, or project funding. Non-targeted funds are distributed among the programs, projects, and administrative expenses of the fund.

The size of administrative expenses varies annually but does not exceed 15%-20% of the total revenue (in accordance with the Law on Charitable Activities and Charitable Organizations). Detailed expenditure breakdown of the fund can be found in the Reports section (click here).

We greatly value your trust, as it is our most important asset. That is why we strive to provide maximum transparency in our work, ensuring that every individual can have confidence that their donations are used for the intended purposes.

If you would like to participate in funding a specific project or seek information regarding program implementation, please reach out to us via email office@centersocial.org, and we will gladly provide you with comprehensive information.

Our team follows an emergency response strategy, so our priority is always projects that provide urgent assistance in cases of severe health issues requiring immediate medical attention, as well as addressing current social challenges such as war, disasters, natural calamities, etc.

Another factor is the resources of the fund, including time, finances, and personnel availability.

The fund has been operating since 2012, and during this time, we have implemented many successful and important projects. You can learn more about the history of our fund by following this link: click here.

If you wish to join the team of our fund, please send your CV and a motivation letter to our email office@centersocial.org.

We are open to any partnership proposals. Please provide a detailed description of your proposal and include contact information for further communication. You can reach us at office@centersocial.org, and we will definitely get in touch with you.

All donations made through the website are directed toward the implementation of a specific program or project.
If you made a contribution without specifying a purpose, the funds are used at the discretion of the foundation’s board — usually to support ongoing programs that lack sufficient funding or for other statutory activities.

If a project cannot be implemented for any reason, all collected funds are reallocated.

There are two possible options:
– Distribution among all active programs of the foundation
– Redirecting the funds to another project that currently requires financing

This approach ensures continuous support for those who need it.

Refunds are possible only in cases of an erroneous payment.
For example, if the donation was made accidentally through a payment terminal or during checkout on the website. If this happens, simply contact us — and we’ll guide you through the next steps.

If you have made a charitable donation to our fund by mistake and would like to have the funds refunded, here’s what you need to do:

1. Don’t worry. Sometimes people make payments by mistake, and we will definitely refund it to you or assist you in the refund process if the funds were transferred through a third-party payment terminal, ATM, or mobile application.

2. Write a brief letter specifying the payment amount, date, and approximate time, your full name, contact phone number, and send us the receipt or screenshot confirming the payment, a copy of your passport and taxpayer identification number (TIN), as well as a completed refund application form (template provided) to our email address office@centersocial.org.

3. If you need assistance, please contact us at +38 093 691 45 24.

We understand that an accidental payment can disrupt your financial plans. Therefore, we do our best to refund the incorrect payment to your account as quickly as possible. However, sometimes this process can take up to 3 working days.

If you would like to share feedback or file a complaint about our work, please use any of the following convenient options:

Protection from sexual exploitation and abuse (PSEA)

Protection from Sexual Exploitation and Abuse (PSEA) is a system of rules and actions designed to prevent any form of abuse of power, trust, or position during the delivery of assistance.

Its goal is to ensure that all people receiving assistance can feel safe, respected, and treated with dignity.

Yes.

Our organization has a Policy on Protection from Sexual Exploitation and Abuse (PSEA) that defines clear standards of conduct for all individuals involved in the foundation’s work — including staff members, board members, volunteers, interns, consultants, and contractors — both in Ukraine and abroad.

We follow a zero-tolerance policy toward any form of sexual exploitation, abuse, or harassment.

The policy is publicly available for review – [link here].

You can report anonymously or openly through the following channels:
Email: PSEAcentersocial@gmail.com
Phone: +38 093 691 45 24

You may contact us if:
• you have witnessed or experienced inappropriate behavior;
• you need advice on how to act;
• you want to report on behalf of another person (with their consent).

We guarantee confidentiality, protection from retaliation, and respect for every person who reports a concern.

Each report is reviewed by our PSEA focal point.

We record the report, conduct a preliminary assessment of the situation, and, if necessary, refer the person to verified service providers — medical, psychological, or legal. All actions are carried out with respect for the rights, dignity, and consent of the person involved.

At the same time, the foundation initiates its internal response mechanism. The PSEA focal point takes immediate action in accordance with the foundation’s policy and the laws of Ukraine. If necessary, the case may be referred to the police or other competent authorities without delay.
